ADX SYSTEM UPDATES

July 2024

Air ticketing failing for CAD – After our last hotfix we continued to see errors when submitting for ticketing for CAD inventory. This issue has been investigated and a fix has been put into place. Ticketing CAD is now working as expected.

Whatfix Icon hidden in footer – The Whatfix taskbar was being hidden behind the footer at the bottom of the TSP page. This has been fixed and is no longer hidden.

Activities showing wrong pricing - Selecting the ticket time on an activity would change the pricing dramatically from the lead in cost. This was a visual change only and didn’t affect the amount charged. This has been resolved.

External MOR VCC multiple names added – When creating an external MOR service with multiple travelers, the name that would appear in the card name section was a combination of all the travelers and not the primary client. This has been resolved.

External MOR VCC creation on failed transactions – When an advisor was collecting payment from a client for an external MOR service, the VCC was being auto generated even when the payment collection failed. This has been resolved and VCC is only generated once client payment has successfully been collected.

Help button throwing error message – Advisors trying to access the HELP section in ADX were being directed to an error page. This has been resolved.

Air alternate fares not returning – Advisors have not been able to see alternate fares in ADX. This has been resolved and when available alternate fares are returning.

Air Ticketing failed - Air ticketing was consistently failing requiring the air team to manually ticket. This has been resolved and auto ticketing is working as expected.

June 2024

VCC Automation - Merchant of Record (MOR) sales now have a streamlined automated process for vendor form of payment generation for single external services and Arc Rates. VCC numbers are now automatically generated once client payment has been received in ADX.

24/7 CAD taxes not being calculated – When adding the 247 fee to the itinerary, the taxes were not being calculated based on the clients invoice address causing an error during payment flow. This has been resolved.

Insurance – Unrequested changes being sent to Travelex + DOB shift – Some advisors were experiencing an issue with clients date of birth changes as well as insurance sending unrequested change emails to the Travelex team. The team found this to be related to a time zone issue. This has been resolved.

VCC - VCC process always fails – VCC creation was failing and system was falling back to the help spot process. This has been resolved.

February 2024

Hotel weblink fix – Advisors booking hotels in ADX will be able to access the vendor website directly through a link. Approximately 60% hotel weblinks are working but few hotel web links, are leading to an error page. We found the web links that are leading to an error page are missing a an ‘s' from https or a ':’ from the weblink. This has been resolved.

TE Public profile reviews fix – When an advisor was creating a review for their profile, not having the travel date entered would cause the form to throw a red error. The form will now show a validation for the agent to return and fill in the empty fields.

Assigning travelers to external services – When assigning a client to an external service, the ‘Is traveling’ box would show as defaulted to ON however the information did not pull into the traveler field. This has been fixed and the ‘Is traveling’ box is defaulted to OFF; advisors can click it to pull in the details as needed.

January 2024

Cover image not deleting – When clicking the ‘delete cover image’ button on the advisor account page, the system would continue to show the image instead of deleting it. This has been resolved and the cover image can be successfully deleted in the account page.

Cover image not saving – Several advisors were experiencing issues with their cover image not being reflected on the client itinerary. This has now been resolved and the uploaded cover image and branding set on the advisor account is being reflected on the client itinerary.

24/7 ability to add product – A bug in ADX was preventing advisors from being able to add the 247 product to their trips. This has been resolved and advisors are able to add the option as intended. The pricing is also now showing correctly on the payment tab - $60 for client pays, $48 for covering the cost.

Client itinerary ordering fix – Currently, when an advisor is booking multiple hotels and flights for a client (where flight reservation is followed by hotel reservation) the trip details group all the flights together, followed by all the hotels, and the itinerary shows the checkout time of the hotels after the following flights. This has been resolved and the itinerary now reflects the services in correct chronological order based on time.

Selling Travel Since field fix – When the Advisor Account updates were made the Selling Travel Since field was left out, meaning advisors couldn't enter the year they started selling travel to display on their public profile. The field has been returned allowing advisors the ability to update.

Send fee agreement error – Some files are throwing a non-descript red error box when clicking the ‘Send planning fee agreement’ button on the TSP. The issue has been resolved.

Hotel search bar whitespace – The hotel destination filed allows advisors to enter a single whitespace which when running the search results in an error. The system will now show a red box around the field if a whitespace is entered and not allow the advisor to continue with the search until the whitespace is removed.

Multiple clicks on accepting/rejecting air notifications – Advisors are able to click the accept/reject button in a schedule change notification multiple times meaning multiple support tickets are being opened which are creating confusion with the support teams. The buttons will now disable after they are clicked once, preventing the advisor from making multiple submissions.

New Service icons on dashboard and client profile pages – Our blue service boxes have received a facelift by our designer team and now are white with new iconography. No functionality is affected with this release.

Insurance updates to accommodate new Travelex requirements – Travelex has updated their CFAR addon rules which made the addon not available in ADX. The changes that Travelex made are:

  • CFAR now requires a deposit date to be passed to be eligible for purchase
  • CFAR will no longer be eligible for purchase in a 4 day window before the trip
  • CFAR is also now only eligible up to 10K

A temporary solution has been put in place to allow advisors to continue to add CFAR to their policies with a more permanent solution coming in the next week.

Revise accounting line for non-commissionable hotels – Non commissionable hotels where creating commission tracking invoices and therefore showing up on the advisors unreceived statements. This has been fixed and non commissionable hotels will now not appear on unreceived statements.

October 2023

Hotel map view improvements for hotels with 0 Latitude and Longitude – Hotels that would not have a registered latitude and longitude would appear in the wrong location in the ADX map view. These results will now be filtered out of the map view and not appear in the results, they will only show in the list view.

When advisors were doing the BOOK flow for insurance, the information was not populating as expected. This has been resolved and the details are pulling when available.

Air Transact Basic Economy Filter – Air Transact basic fares were showing even when filter was set to hide basic fares. We have adjusted and Eco Budget fares are now hidden when basic fare filter is set.

Air After Hours Messaging update – The messaging that shows up outside of regular air team hours has been updated to communicate that requests submitted outside of regular hours will be handled the next business day. We have also added messaging stating AST is not responsible for costs or penalties for requests submitted outside of the regular hours. This messaging has been updated on the air search/reprice flows as well as when an advisor clicks the action buttons (ask air, change, cancel).

Public profile max validation rules – The old profile view had the max validation rules showing for the specialties and the destinations. With the new profile, this validation was removed. The validation has been put back and advisor will see it when they exceed that count

Air Direct Sell Check Availability Error – Using the direct sell air option and pressing the ‘Check Availability’ button would throw a non-descript error. The issue has been resolved and the check button should show options when available.

  • The custom branding itinerary preview and actual itinerary discrepancy in colours and styling

Updated 24/7 Vendor Name – When charging the 247 product fee in ADX, advisors will now see the following on the invoices:

  • TEN - 24/7 Support Fee

Postal Code Validation on client creation – ADX used to validate on having a space in the postal code during client creation. We have removed this and allow creation with or without the space

Improved error messaging for air unavailable segments – When air segments were unavailable, we would show a generic red error message. Instead of providing a red error message, we will now show an orange warning with the following message:

“The following flight segment ‘Flight Number’ on ‘Date’ is not available, please return to the search and pick a different flight segment. If this problem persists or if you believe you’ve received this message in error, please contact ADX Support.”

Insurance Modify – The modify insurance flow was not working properly and advisors were directed to reach out to support to manually modify a policy. This has been resolved and advisors will now be able to again submit modify requests through the ADX MODIFY button.

Insurance Phone Number Validation – Advisors were experiencing an issue where they would process an insurance policy and the transaction would decline due to an invalid phone number issue. This has now been resolved and phone number validation has been correctly implemented.

Improved error handling for client creation – Currently if an advisor tries to create a new client with a phone number that is already existing in the system, ADX will show an orange message with no information. We have switched this message to display the following message: “This phone number was used to create another client in the system, please use a unique phone number to create your client, it is possible to use a generic (555) phone number and then switch the phone number to the correct number after client creation”

June 2023

Client Pay notification to include amount transacted – Advisors are not always able to tell how much money has been transacted and what gets transacted if portions of the record fail. Advisors will now receive a notification in ADX that includes how much money was successfully transacted.

Unable to open itinerary from client email – Clicking the see itinerary button from the email sent to clients would throw an error and not open the itinerary document. We have fixed the link issue and now the redirect is correctly showing the document.

Advisors who have not set a default in their profile will be able to opt in and out by sliding the opt in/out slider and then making their selection.

Advisors who have set default fees will be able to change the selection by sliding the opt in/out slider OR changing the payment option in the box. Once a selection is made, hit SAVE to save that option on the reference.

Confirming the advisor pay option and processing payment has not been changed.

  • NOTE: Ability to add a phone number when advisor has opted out will be coming in next sprint.

Travelex Insurance phone number validation messaging – Previously if an advisor entered a phone number that did not fit Travelex criteria, advisor would be prevented from booking and a red non-descript error message would appear. We have made it easier for advisors to know where they have made an error or where the phone number entry does not meet the Travelex requirements by customizing the error messaging to the advisor.

This has now been fixed and the form will pull in the address when available in the profile.

Advisor would need to remove the number at the time of booking to process the transaction. This has now been fixed and advisors will be able to process Amadeus bookings without having to remove the number.

Air Traveler title empty showed NULL on the TSP - If a traveler has no title indicated in the traveler section, ADX is showing NULL on the trip page and on the client itinerary. This has been fixed and NULL has been removed for this scenario.

Client Pay flow to include error messaging in advisor notification for failed payments – When a client payment link fails, ADX was not sending the error messaging to the advisor which meant the advisor needed to reach out to ADX support for clarity as to why the payment failed. We are now adding when available, the error messaging that comes back at the time of payment on to the advisor notifications.
